Document collection

Automated client document collection

Ask clients for exactly the documents a job needs, check what comes back, chase what's missing, and get a complete file, on WhatsApp or email.

What gets automated

  • Requesting the specific documents each client's case needs
  • Reading what arrives and checking it against the checklist
  • Spotting wrong periods, missing pages and unreadable photos
  • Asking about anything unclear in the same conversation
  • Following up with clients who've gone quiet
  • Filing complete records into your systems

Outcome

You see which files are complete, which are being chased, and which need a person, without opening an inbox.

When a person is needed

Anything that needs judgment goes to your team with the whole thread and everything collected so far attached. The AI flags; a person decides.

The work can't start until the documents arrive

Every team that works on a client's behalf has the same bottleneck. The accountant can't prepare the return, the underwriter can't assess the case, the lender can't approve the application, until the client has sent everything. And clients rarely send everything at once.

So someone sends a checklist. Half of it comes back. One file is the wrong month, one is a photo of a screen, one is a document nobody asked for. Someone notices, writes back, waits, and checks again. Then does the same for the next client, and the one after that.

None of that needs a qualified professional. All of it takes one's time.

What Nuncily does instead

Nuncily runs the collection as a conversation:

  • It asks for exactly what this client's case needs, rather than sending everyone the same generic list.
  • It reads each file as it arrives and checks it against the requirement: the right type, the right period, every page, readable.
  • It says so straight away when something's wrong, in the same conversation, while the client still has the document in front of them.
  • It follows up with clients who've gone quiet, without anyone on your team keeping a list of who those are.
  • It files the complete set into the system the work happens in, and marks the case ready.

Why conversations beat portals

Portals solve the firm's filing problem and hand the effort back to the client: another login, another password, another upload screen. The clients who are hardest to chase are exactly the ones least likely to use one.

A conversation on WhatsApp or email has no login, and it gives the client an immediate answer when something's missing. That's what shortens the chase: not a reminder, but a specific, timely question.

What your team sees

An exceptions list. Complete cases need no attention. Cases still being chased show what's outstanding and when the client was last asked. Cases that need a person, such as a document that raises a genuine question, arrive with the full conversation and every file attached.

Getting started

Document collection runs on the Nuncily platform: one workflow, set up for you, at a single monthly price. See pricing, or if your documents need to land in a system of your own, look at a custom build.

Common questions

How is this different from a client portal?

A portal asks the client to log in, find the right upload slot and remember to come back. Nuncily goes to the client on a channel they already use, asks for one thing at a time, and replies straight away when something isn't right.

What kinds of documents can it collect?

Bank statements, invoices, receipts, identity documents, proof of address, certificates, signed forms, and anything else a process needs from a client before it can move forward.

Does the AI decide whether a document is acceptable?

It checks what can be checked against rules, such as the document type, the period it covers, whether every page is there and whether it's readable. Anything that needs professional judgment is flagged for your team.

Which channels does it use?

WhatsApp first, with email for clients who prefer it. Clients reply the way they already reply to everyone else, with nothing to download.

Who is it for?

Accounting practices, insurers and brokers, lenders, letting agents, recruiters, and any team that can't start the real work until a client sends something.
